If your mortgage broker assistant vacancy attracts applicants expecting a different job, review what the advertisement lets them infer. A duties list may leave the working day, support and flexibility unclear. A realistic preview helps candidates decide whether their experience and circumstances fit before they apply.
This is a troubleshooting guide for Australian brokerage owners with an agreed role. Use the assistant job description template to define responsibilities first. Here, diagnose gaps between the advertised opportunity and applicants' expectations, then repair the public message.
Use candidate questions to find missing information
The following are hypothetical observations, not measured hiring results. A mismatch can have several causes; check the advertisement and actual offer before blaming either the candidate or the channel.
- Applicants expect loan analysis: check whether the title and opening oversell technical work while document chasing appears only at the bottom.
- People discover an attendance conflict: check whether “hybrid” omits office days or induction attendance.
- Applicants want immediate autonomy: check whether “own the process” hides review and escalation requirements.
- Relevant applicants hesitate over experience: check whether a long essential list includes systems the brokerage can actually teach.
Record recurring questions without inferring a trend from one conversation. Correct misleading detail first. If people understand the job but decline its genuine conditions, changing the wording alone will not change the offer.
Replace recruitment slogans with things a candidate can picture
“Exciting opportunity in a fast-paced brokerage” leaves almost everything unanswered. What interrupts the work? Who helps? Does the assistant organise documents or prepare applications?
Write a short account of an ordinary day, including the less glamorous work. An assistant might begin with appointment changes, spend a substantial part of the day following up missing documents, and finish by making sure unresolved questions reach the right broker. Mention repeated follow-up if that is central to the job. Do not imply that every day involves complex lending analysis.
- Instead of “excellent communicator”: describe explaining a document request clearly and recording the customer's response.
- Instead of “thrives under pressure”: explain how competing requests are prioritised and who decides when deadlines clash.
- Instead of “great career prospects”: name an available learning opportunity and who provides it, if the team can deliver it.
- Instead of “supportive culture”: describe how a new starter gets an answer when the broker is in an appointment.
These writing choices give candidates specifics to respond to; they do not promise more applications or faster hiring.
Make every attractive claim earn its place
Before publishing, put each selling point beside evidence the hiring manager can check. “Structured training” needs an actual trainer, material and time. “Modern systems” should mean more than a list of software logos. “Varied work” should describe the real mix without hiding the recurring administration.
Finish the sentence, “You will see this in practice when…” If you cannot finish it honestly, change the claim. Describe unfinished improvements as planned, not established benefits.
The Australian Government's recruitment guidance recommends including wage details, benefits, location, start and closing dates, a contact person and application instructions. Use those items as a completeness check, then make each one specific to the approved vacancy.
Explain flexibility in everyday terms
“Flexible” can refer to location, start time, days worked or an arrangement discussed individually. State which one applies. A role that can be performed from home may still require a fixed customer-contact window. A hybrid role may have office attendance during induction that differs from its ongoing pattern.
Describe the actual office location, agreed working pattern and any relevant time zone. Explain whether remote days are established, negotiable or not offered. If a condition is undecided, resolve it before making a public promise. Avoid describing flexibility as unlimited when the team needs coverage at particular times.
Keep pay equally clear. Use the employer-approved amount or range, currency and hourly or annual basis, and explain how superannuation is presented. Do not borrow a figure from another advertisement. The Fair Work Ombudsman's job advertisement template directs employers to check applicable minimum pay and conditions. This article provides no pay benchmark or classification advice.
Annotated example: an assistant vacancy with a realistic preview
Fictional drafting example only: the brokerage below is invented and no vacancy is being offered. Its working practices illustrate the writing approach, not verified benefits at Mortgage Talent or another employer. Replace every bracketed field and confirm every statement before using it.
1. Lead with the job and practical offer
Mortgage broker assistant | Fictional Harbour Example Brokerage
[Legal employer] is recruiting a [employment type] assistant in [location]. The approved working pattern is [days, hours and time zone], with [specific office or remote arrangement]. Pay: [approved amount or range, currency, pay period and superannuation basis]. Proposed start: [timing].
Why it works: practical details appear before promotional language. Applicants can check whether the arrangement could fit without searching through the whole advertisement.
2. Show the recurring work
You will help customers get ready for their broker appointments and keep document follow-up organised. Your day might start with rescheduled appointments and unanswered requests. You will contact customers using our agreed instructions, record what has arrived and make the next step easy for the broker to find.
Some requests need several follow-ups. Priorities can change when a customer sends new information. If two urgent requests compete, the team lead will help set the order rather than leaving you to guess.
Why it works: the candidate sees repetition and interruption alongside the useful outcome. The paragraph explains a management response to pressure rather than asking for endless resilience.
3. Describe support and boundaries
You will report to [role]. During induction, [named training owner] will demonstrate our document-request process and review your early work at [confirmed review times]. Questions outside the agreed instructions go to [reviewer and backup route]. Product recommendations and lending decisions are not assigned to this vacancy. A customer's question about which loan to choose goes to the broker.
Why it works: support has an owner and a visible form. The scope is an example for this fictional role, not a universal statement about what every assistant is authorised to do. Have your licensee or adviser review the actual duties and authority before advertising them.
4. Help relevant applicants recognise themselves
We are looking for someone who can organise several customer follow-ups, write clear factual notes and notice when information needs checking. Relevant examples may come from [backgrounds the manager can genuinely consider]. Experience using [actual system] is [essential or desirable]. We can provide training in [confirmed training scope].
Why it works: requirements describe evidence the applicant can offer. Only include backgrounds and training commitments the team is prepared to support.
5. Ask for a small, relevant response
Apply through [approved route] by [date and named time zone] with your CV and a short answer: “Describe a time you had to follow up an incomplete request. How did you keep track of it and decide what to do next?” Remove customer and employer-identifying details from your example. For questions about the role or application process, contact [name and route].
Why it works: one focused prompt invites evidence connected to the advertised day. It does not ask the applicant to complete unpaid live brokerage work or disclose a previous employer's files.
Check the public promise before posting
Ask a colleague who understands the actual workload to read the advertisement. Can they point to anything that sounds more generous, autonomous or predictable than the job really is? Check the pay wording, working pattern, training availability and contact route with the responsible owner.
Then read it as a candidate: can you explain the normal day, the hard part, the support available and how to apply? Keep the answer consistent wherever the vacancy appears. Once applications arrive, use the separate candidate communication templates for invitations and updates.
