Keep mortgage support candidates informed with a clear interview invitation, a realistic next-update point and a message reflecting the hiring manager's actual decision. Assign one communication owner. An assistant coordinating recruitment should not imply an offer, promise a start date or invent a reason for delay.
These proposed templates support recruitment administration. The hiring manager assesses candidates and approves outcomes; the appropriate owner handles offers and employment terms. Use fictional information in examples and keep candidate records in the approved recruitment system.
Prepare an invitation that explains the actual interview
The Australian Government's recruitment guide recommends telling interviewees the time, place, duration, panel and what the interview involves. For a remote interview, make the meeting route and named time zone explicit, then ask the candidate to confirm the arrangement.
Thank you for your interest in [role]. We invite you to meet [panel] on [date, time and named time zone] through [meeting route]. Allow [planned duration]. We will discuss [role tasks] and use [described fictional exercise]. Please confirm the arrangement or contact [owner] about a practical adjustment.
Adapt the draft to the interview that will actually take place. Check the meeting link, panel availability and exercise instructions before sending. Do not describe a brief conversation and then surprise the candidate with a different assessment.

| Field | Record | Check |
|---|---|---|
| Candidate reference | Controlled recruitment record | Correct person and role |
| Current stage | Invitation, interview, review or outcome | Actual manager-approved state |
| Latest message | Content, route and time sent | Sent rather than merely drafted |
| Next update | Chosen date and contact owner | Can the owner meet that commitment? |
| Open question | Scheduling or process question | Who is authorised to answer? |
| Outcome instruction | Approved decision and message | No unapproved offer language |
Use this record as a view of the existing recruitment process. It should not become a separate shortlist with conflicting stages. Keep assessment notes and candidate-facing messages distinct, so an internal discussion is not accidentally copied into an update.
The shortlist comparison scorecard supports the hiring decision. A communication worker can track whether that decision is still pending without deciding who should be selected.
Give honest updates when the process takes longer
Thank you for meeting with us about [role]. The review is still in progress. [Contact owner] will send the next update by [realistic date]. If your availability changes before then, please let [owner] know through [route].
This illustrative update is useful only if the owner has confirmed the review state and next check. If the team cannot commit to an outcome date, promise a status update instead. Avoid saying a candidate is nearly selected when the manager has not made that decision.
When an agreed update date approaches, ask the manager for the current instruction. If a delay continues, send the approved truthful update rather than leaving the candidate to infer the outcome. Record the sent message and the next owned check.
Handle rescheduling with a fictional exercise
Illustrative exercise: a mock processor candidate accepts an interview scheduled in Sydney time. A panel member becomes unavailable, and a coordinator proposes a new time without naming the time zone. The candidate replies that the new appointment conflicts with another commitment.
The trainee checks the panel's current availability, prepares a complete revised invitation and asks for confirmation. They identify which earlier invitation is superseded. They do not assume that a calendar update was accepted simply because it was sent.
The mock candidate then asks about a start date. The coordinator routes that question to the hiring manager and records the approved response. A scheduling task does not become an offer discussion merely because the candidate is enthusiastic.
Communicate the approved outcome respectfully
Thank you for the time you spent discussing [role] with us. Following the completed review, we will not be progressing your application for this vacancy. We appreciate your interest and the effort you put into the process. Please contact [approved owner] through [route] with any process question.
This unsuccessful-outcome template is illustrative. Use it only after the hiring manager has approved that outcome and wording. If feedback is offered, have the authorised owner provide accurate role-specific observations. Do not invent a comparative ranking or share another candidate's information.
A selected candidate's next communication belongs to the approved offer process. The coordinator may arrange the next conversation or transfer the record to the responsible owner. Keep contractual commitments and terms out of a generic progress template.
Before an outcome batch is sent, reconcile its candidate references against the manager-approved decisions. Check that someone awaiting another interview has not been included accidentally. If a candidate withdraws during review, record their own message separately from an unsuccessful hiring outcome, then ask the owner to close the appropriate tasks.
Carry confirmed arrangements into the start plan
Once the authorised process has established the relevant arrangements, connect confirmed role and timing details to the start-date readiness checklist. Keep a proposed date separate from one actually confirmed by the responsible parties.
- Invitations describe the actual interview and named time zone.
- Rescheduled appointments have a confirmed current version.
- Progress updates match the manager's real review state.
- Outcome messages follow an approved decision.
- Offer and start arrangements remain with the authorised owner.
Review a small fictional recruitment timeline to test whether a covering colleague can identify the next message and its owner. Improve missing instructions before adding more automated reminders.
