Mortgage broker event follow-up: turn requested conversations into tasks

Reconcile event notes, requested resources and approved contact permissions before assigning a brokerage follow-up, without enrolling every attendee in a sequence.

Illustrative event follow-up workflow showing request, permitted action and owner.

Organise mortgage brokerage event follow-up around what each person requested, the approved contact arrangement and a named next owner. Reconcile the event notes before sending a batch. Attendance, a resource request and a request for a broker appointment are different operational states.

This proposed register helps an assistant prepare the work after a seminar, partner presentation or networking event. The responsible owner approves the contact process and resolves uncertain permissions. The register does not determine the legal classification of an individual message.

Reconcile the event sources before outreach

Identify the event, the approved registration source, conversation notes and resource-request records. Record when each was collected and who owns it. Keep contact details in the approved system; a broad event summary can use internal references.

ACMA's guidance says marketing emails or messages need the recipient's consent and must identify the sender, provide contact details and make unsubscribing easy. Have the responsible owner approve how that guidance applies to the actual follow-up. Do not assume that the event list supplies permission for every proposed contact.

Separate a recorded request from an organiser's assumption. If a conversation note says “interested”, ask what action was actually agreed. The assistant can prepare a clarification for the event owner without turning the ambiguous note into an appointment or marketing subscription.

Keep a held-for-review queue alongside the approved-action queue. An unresolved record should remain visible without joining a send list. Record the question blocking it so the owner can decide what to do.

Use one stable event reference across the source notes and tasks. If a later message clarifies a request, link it to the same row. This avoids a second outreach task being created from the clarification itself.

Prepare the resource and booking paths separately

A resource-delivery task should identify the requested item and approved recipient. Check the actual link or attachment before preparation. Avoid adding unrelated financial claims, offers or another campaign to make a short delivery message feel more substantial.

A requested appointment should pass to the appointment-intake workflow with the stated purpose and open questions. Let that process establish the meeting details. Do not request a full borrower document pack just because someone spoke with the broker at an event.

If the person requested a later conversation, record that instruction and the agreed owner. The date can be a brokerage service choice or a customer preference; label its source. A default daily sequence should not replace the actual arrangement.

Practise with three fictional event records

Illustrative exercise: attendee A requested a copy of the presentation guide through the approved route. Attendee B asked to book a broker conversation. Attendee C appears on the registration list, but the mock notes contain no follow-up request or approved outreach instruction.

The trainee prepares A's resource task and B's appointment handoff, each within the supplied approved process. C is held for the event owner's decision. The exercise does not decide whether a real attendee may lawfully be contacted; it tests whether the worker avoids filling missing instructions with assumptions.

A further mock note shows that B already has a broker appointment. The assistant identifies the duplicate, asks the current owner to reconcile it and avoids sending a second booking invitation. The original event context stays linked to the existing task.

Record replies and stop signals promptly

Route replies through the inbox triage process. Distinguish a practical resource question, an appointment change and a question requiring the broker. Keep the next owner visible rather than leaving all responses with whoever prepared the event batch.

A request to stop or change contact should reach the designated owner and approved preference process immediately. Check that pending tasks have been reconciled under that process before another batch is prepared. Do not create a second list that can reintroduce a contact removed from the authoritative record.

If a message fails to deliver, record that failure separately from a declined request. Ask the owner about the next permitted route. Do not search for additional personal contact details and launch another outreach path to close the row.

Before the event owner closes the batch, reconcile the prepared-action count with the actual sent, held and cancelled tasks. Check individual references rather than relying only on totals. A row removed from one list may still have a pending reminder elsewhere, so the authoritative task queue should control the next action.

Review fulfilment before measuring results

  • Each follow-up links to an attributable request or approved instruction.
  • Resource and appointment actions are separate.
  • Held records remain outside the approved send queue.
  • Duplicate contacts and stop signals reach the current owner.
  • Outcomes reflect actual replies and bookings.

Use these checks to review the work before reporting activity counts. A sent-message total does not establish useful conversations or new business. Explore assistant duties or share your event follow-up coordination brief with the permission process and broker handoff included.
