Gifted deposit evidence: organise the mortgage broker's review pack

Prepare a broker-directed deposit evidence pack with clear contributor references, document links and unresolved differences, without deciding lender eligibility.

Organise gifted deposit evidence from the broker's case-specific request, then link each proposed contribution to the relevant declaration, supporting item and recorded receipt evidence. Flag factual differences for review. A support worker should not decide whether the contribution satisfies lender policy or turn an uncertain repayment arrangement into a gift by changing the wording.

Macquarie's broker-use supporting-documents checklist lists a signed gift letter where applicable and notes that a gift and loan declaration form is available on its broker website. Use the current form and instructions approved for the actual file, rather than treating one lender's example as a universal requirement.

Ask for an approved contribution list

Have the broker identify which contributions need to be organised, which documents are requested and who should provide them. Record the instruction source and date. If the request simply says “gift evidence”, ask what the support worker is expected to collect and compare before contacting the customer.

Use a separate contribution reference where several people or transfers are involved. Connect that reference to the controlled file rather than placing personal names and financial details in a broadly shared worksheet. The purpose is to make relationships clear for the reviewer, not to create an additional store of sensitive documents.

The broker should also specify the route for any question about repayment, source, timing or document wording. Keep those questions visible instead of completing the pack according to the assistant's preferred interpretation.

Keep document collection separate from the cross-check

Use the document request tracker to request and locate the approved items. Mark arrival as received, then send the material into the agreed review sequence. The gifted-deposit worksheet adds a comparison between items; it should not duplicate every follow-up task.

A comparison can be complete while the pack remains awaiting review. “Items match the assigned fields” should never be upgraded to “lender accepts the deposit”. Those statements establish different things.

Handle inconsistent descriptions without rewriting them

If one supplied item describes a gift and another mentions an expectation of repayment, preserve both sources and ask the broker to clarify the next step. Do not remove the repayment wording, suggest an answer to the contributor or provide a generic declaration designed to make the documents fit.

Use a neutral note: identify the document references, the differing descriptions and the question that needs a decision. Keep the customer's reported explanation attributed to them. The support worker's observation and the broker's conclusion belong in separate parts of the record.

Similarly, a different contributor label, date or recorded amount should become a precise review question. First check that the items are being compared against the same contribution. Two documents may relate to separate events rather than contradict each other.

Work through a fictional two-contributor pack

Illustrative exercise: the broker's mock request names Contribution A and Contribution B. A supplied declaration refers to A, while the mock transfer item is labelled B. A second document uses an abbreviated contributor name. All labels and documents are constructed for training.

The worker indexes the items against their supplied labels and marks the A-to-B relationship unresolved. They do not infer that the transfers were combined or rename the document to A. The abbreviated name becomes a separate factual question for the reviewer.

The mock broker then explains which item belongs to each contribution and requests a corrected document through the approved route. The worker records that instruction, creates the specific follow-up and keeps the earlier version identifiable. The exercise tests traceability, not deposit eligibility or document authenticity.

Return a review pack with a short exception summary

Give the broker the approved request, contribution index, source documents and unresolved comparisons. State what was checked and which decisions are still outstanding. Do not fill the opening summary with a broad “all deposit documents complete” when one relationship remains unclear.

After the broker responds, update the worksheet with the actual instruction and attach resulting tasks to their ordinary owners. If a replacement arrives, record which version the reviewer should examine. Keep the received source and review history under the brokerage's approved records process.

At lodgement, use the application lodgement checklist to establish which reviewed pack was prepared and sent. An earlier deposit worksheet should not be treated as the receipt for a later submission.

Use the workflow to define a preparation role

A useful support brief describes document indexing, assigned factual comparisons, neutral exception notes and follow-through on approved clarifications. Test these duties with a fictional pack containing a missing item and a mismatch. Ask the candidate to explain where they would stop and seek review.

Review loan processor support or discuss deposit-pack preparation. Bring your current request process and reviewer availability so the role covers administrative preparation without implying independent lending decisions.
