Coordinate a guarantor mortgage file with separate party labels, request references, contact owners and review points for borrower and guarantor work. Record what was delivered, what was reported and what the responsible reviewer confirmed. Progress on the borrower's pack should not automatically close the guarantor's tasks.
This proposed workflow organises broker-directed administration. It does not decide whether a guarantee is appropriate, explain its legal effect or establish that a guarantor understands their obligations. Those questions belong to the responsible professionals and the lender's process.
Identify the separate parties and instructions
Start from the current broker instruction and identify the borrower, guarantor and other assigned contacts through controlled references. Confirm which person owns each request and which communication route support may use. Avoid treating a family relationship as permission to use one combined contact path.
ANZ's Security Guarantee page strongly recommends independent legal and financial advice before a guarantor signs; the page excludes ANZ Plus products. Record the actual requirements and professional handoffs assigned for the particular file. The assistant should not translate this recommendation into a universal rule or certify that advice was received.
Ask the reviewer which documents, acknowledgements and confirmations the support role is to coordinate. A broad “guarantor complete” instruction needs clarification if it does not identify what must be evidenced. Keep unresolved scope visible before requesting documents.
Copy the party-specific administration ledger
Scroll sideways to see all columns →
| Item | Record | Keep distinct |
|---|---|---|
| Party label | Controlled borrower or guarantor reference | One party's task from another's |
| Requested evidence | Exact broker-directed item and source | Actual requirement from a generic checklist |
| Contact owner | Approved person and route | Customer contact from professional contact |
| Document event | Issued, received, returned or replaced | Delivery from acceptance |
| Reported appointment | Who reported it and when | Booking from confirmed completion |
| Reviewer outcome | Instruction, evidence reference and next action | Support observation from professional judgement |
Link the ledger to existing document tasks rather than creating a second chasing system. A shared transaction reference can connect the work while preserving the separate party and document records. Each open task should still have one current owner.
Keep personal documents in the approved file context. A coordination view should expose only the references and task details the team needs. The existence of a single loan application does not mean every contact should receive every document.
Route questions without interpreting the guarantee
If a guarantor asks what an amount, clause or obligation means, record the question accurately and send it to the assigned broker, lender or professional through the approved process. Do not improvise an explanation to keep the document-return task moving.
If the borrower asks why the guarantor has not returned an item, check what progress may be shared under the approved arrangement. The assistant can ask the responsible owner for a permitted update without forwarding private correspondence or speculating about the guarantor's decision.
Separate a scheduling difficulty from a substantive concern. An unavailable appointment time can go to the coordination owner. A concern about signing needs the appropriate reviewer. Both may affect the next preparation step, but they require different responses.
Practise with a fictional two-party file
Illustrative exercise: the mock borrower has returned their assigned documents. The mock guarantor has received a separate pack and reported an upcoming appointment with a professional. The file also contains an unverified message saying “all signing sorted”.
The trainee records the borrower return, guarantor delivery and reported appointment as three distinct events. They ask the reviewer which evidence confirms the outstanding guarantor handoff. They do not use the broad message to mark the entire file complete.
A later mock document arrives with a new version reference. The assistant links it to the correct guarantor task and returns it to the designated reviewer. The exercise tests party attribution and honest states, not whether a real guarantee is enforceable or suitable.
Connect signing progress to the correct pack
Use the loan-offer signing tracker for the document events the reviewer assigns. Apply it separately to the relevant party and pack. A borrower signature event should not be copied onto a guarantor row.
Record the exact version returned and any receiving-party response. If an older pack was signed or a page is missing, preserve the item and route the discrepancy. Do not substitute pages, alter documents or ask a person to sign again without an approved instruction.
The gifted-deposit guide covers a different contribution-evidence task. Keep a contribution and a guarantee labelled according to the broker's instruction. Support staff should not treat the two arrangements as interchangeable merely because a family member is involved.
If a guarantor decides not to continue, preserve the reported decision and route it to the broker. Ask for the resulting instruction before cancelling document tasks or describing the wider application as withdrawn. The coordination record should show which party reported the change and what the authorised owner then directed.
Return a clear reviewer handoff
- Every item names the party and pack it belongs to.
- Contact routes follow the approved arrangement.
- Reported appointments are attributed and not overstated.
- Questions about meaning reach the responsible professional.
- Completion follows the assigned evidence and recorded reviewer response.
Give the broker a concise outstanding-items summary with the original request and latest event linked. Identify which next preparation step depends on each unresolved item. This is more useful than one broad “waiting on guarantor” status.
