Sharing a mortgage support shortlist: control candidate information

Prepare a purpose-specific mortgage recruitment review pack, record its recipients and version, and rehearse a candidate-information correction.

Sharing a mortgage support shortlist: control candidate information: diagram connecting Purpose, Recipients, Version.

Before sharing a mortgage support shortlist, decide which candidate information each reviewer needs, who approves the pack and where the current version will live. Separate evidence about the proposed work from contact details, reference material and information unrelated to the selection task. Sending a complete application folder to everyone is not a substitute for a recruitment process.

This guide gives Australian brokerage owners a proposed shortlist-sharing ledger and a fictional correction exercise. It concerns the information moving between a recruitment contact and hiring panel. It does not classify your organisation under privacy law or set a universal retention period.

Do not treat every candidate record as an employee record

The OAIC's employee-records guidance explains that the exemption does not cover future employment relationships, including the collection of information about unsuccessful applicants. It also explains that contractors handling another organisation's employee information are not covered by that employer's exemption. Have your responsible privacy adviser assess your actual recruitment arrangement and applicable obligations.

That distinction is useful before anyone builds a shared shortlist. A candidate, an existing worker and an external recruiter can sit in different relationships with your brokerage. Do not infer a blanket permission to collect, circulate or retain every document from the fact that recruitment may eventually lead to employment.

Identify the parties involved: the person supplying the application, the recruitment provider, your hiring decision-maker and any panel members. Confirm the approved information-handling arrangements with the provider. Do not describe Mortgage Talent or another supplier as holding a particular certification or following a specific retention rule without checking it directly.

Define what each reviewer must assess

Begin with the actual role brief. A panel member checking loan-pack preparation needs the candidate's evidence about that work and the agreed fictional exercise. A coordinator arranging interview times needs a reliable contact route and availability. These tasks do not automatically require the same information.

Build the panel pack around the selection question. For example, include the candidate's relevant task history, systems duties, exercise observations and unresolved role-specific questions. Keep the source of each observation clear. “Prepared packs under daily review” is different from an assessor's unsupported conclusion that the person can run your whole queue independently.

Use controlled references to the approved candidate record where possible. Avoid copying a referee's contact details, a personal explanation of availability or unrelated attachments into a general comparison table merely because they arrived with the application.

Copy a shortlist-sharing ledger

Proposed ledger for a mortgage recruitment review pack
FieldQuestion to settleIllustrative entry
PurposeWhich hiring question will this pack answer?Compare evidence for factual document checking
RecipientsWho needs the pack for that purpose?Named hiring manager and workflow assessor
Included informationWhich items support the question?Relevant role history and fictional exercise observations
Excluded materialWhat stays outside this distribution?Unnecessary personal attachments and unrelated contacts
Source and versionWhere is the current authorised record?Controlled recruitment reference and pack version
Approval and reviewWho authorises distribution and later access changes?Named recruitment owner under the organisation's process

The ledger records an operational decision. It does not itself establish a lawful basis or replace a collection notice, consent where needed, security controls or specialist advice. Resolve those questions through the organisation's approved process before distributing the pack.

Work through a fictional shortlist correction

Everything in this example is invented. A recruiter supplies a mock candidate's CV and an additional note about interview availability. The brokerage coordinator prepares a comparison spreadsheet for three reviewers. One reviewer only needs to assess a fictional lender-follow-up exercise, but the proposed attachment bundle also includes a referee's personal contact details.

The coordinator pauses distribution and asks the recruitment owner to confirm what each reviewer needs. The resulting panel pack contains relevant experience, the exercise and the evidence criteria. The coordinator retains scheduling information in the approved coordination record and follows the owner's decision about access to the other material.

The next day, the candidate corrects a CV date. The coordinator identifies the controlled source, obtains the approved updated pack and records which reviewers received the earlier version. They notify those reviewers through the agreed route rather than quietly changing one spreadsheet while several downloaded copies remain in use.

The purpose of this exercise is not to declare that one set of fields is always permissible. It tests whether the team can explain distribution, find the current version and correct the actual review material without expanding circulation.

Keep assessment evidence accurate and attributable

Use the shortlist comparison method to separate observed work from an unresolved claim. Link an assessor's conclusion to the exercise or conversation that supports it. Avoid turning private panel discussion into a candidate-facing explanation without the appropriate owner's review.

Agree who handles candidate questions about records, corrections or access. The OAIC's employment guidance says unsuccessful applicants may be able to access information about themselves under the Privacy Act and discusses correcting personal information, including referee-report information. It notes that exceptions can apply. The recruitment coordinator should route a request to the responsible person, not promise that panel notes are automatically secret or automatically disclosable.

When a role closes, ask the owner to apply the approved retention and access process. Do not invent a standard number of months for every recruitment record or automatically delete material that another requirement says must be preserved. Record who owns the decision and which working copies or shared links need attention.

Make information handling part of the recruitment brief

Before requesting a shortlist, name the hiring reviewers, the evidence they need and the controlled system for receiving it. Agree how corrected records and candidate requests move between your brokerage and the provider. Test the process with fictional material before broadening distribution.

Discuss your mortgage support recruitment brief with Mortgage Talent. Bring the duties, assessment owners and information-sharing process your team needs. Confirm the proposed service responsibilities and privacy arrangements directly rather than assuming that a platform or recruitment label resolves them.
