Before relying on “police checked” in a mortgage support shortlist, establish why the check is needed, which role and purpose it covers, and who will verify and review it. A recent certificate and a supplier's screening tick are not interchangeable with an accepted check for your vacancy. Keep that decision separate from the candidate's processing skills, work entitlement and authority to perform credit activities.
For a brokerage buying recruitment or outsourced support, the practical question is what evidence the supplier will deliver and what your own reviewer must still decide. This guide provides a check-request worksheet and a fictional document comparison. It does not assess anyone's criminal history or determine the legal requirements for a particular appointment.
Identify the reason before ordering a check
Start with the actual assignment: requesting documents, preparing factual application fields, tracking lender conditions, or performing duties that may require a different authorisation. Describe access and decision-making separately. Handling borrower information deserves careful controls, but the job title alone does not tell a recruiter which screening requirement applies.
Ask the brokerage's responsible hiring or compliance owner to identify the requirement and its source. It might arise from the reviewed role, an applicable agreement or a regulatory process. Record the specific basis instead of “finance industry requirement”. If the basis remains unclear, resolve it before asking an applicant to purchase a check or supply additional identity documents.
ASIC's credit-representative guidance says licensees should make relevant background inquiries about people they authorise as credit representatives; police checks are among its examples. Separately, ASIC's fit-and-proper-person guidance concerns information required for new or varied credit-licence applications. Neither page should be copied into a universal checklist for everyone called a mortgage assistant. Have the licensee determine which requirements apply to the actual person and arrangement.
The Australian Human Rights Commission's recruitment guide also advises employers to focus on genuine job requirements and avoid irrelevant personal information. Treat this as a reason to write a precise screening brief, not to collect the broadest available package.
Agree the screening deliverable with the recruiter
Clarify whether the provider arranges a new check, reviews an existing document or merely records the candidate's statement. Ask who handles informed consent, identity verification, result delivery and unresolved questions. These are different activities, even when a proposal puts them under one “background screening” heading.
The Australian Criminal Intelligence Commission explains that individuals obtain Nationally Coordinated Criminal History Checks through accredited bodies or police agencies, not by applying directly to ACIC. Its application guidance requires informed consent and identifies purpose details including the position, workplace and work location. Confirm the appropriate route rather than sending a candidate an unexplained payment link.
Use this original worksheet when briefing the search. It is not an official application form and should not hold the applicant's identity documents.

| Decision | Record in the recruitment brief | Question to resolve |
|---|---|---|
| Requirement | Actual duties, engagement and owner-confirmed reason for the check. | Which requirement are we satisfying, and who confirmed it? |
| Scope | Named vacancy, employing or engaging organisation and physical work location. | Does the request describe this assignment accurately? |
| Service | What the recruiter arranges, what the checking body performs and what the brokerage reviews. | Are we buying a check, document verification or an attestation? |
| Acceptance | Required evidence, acceptable timing and named authorised reviewer. | What will count as complete for this vacancy? |
| Candidate arrangements | Approved explanation, consent route, cost responsibility and contact for questions. | Has the candidate been given a clear, workable next step? |
| Exceptions | Owner and next action for missing, mismatched or disputed information. | Who decides what can proceed while the issue is unresolved? |
For an offshore worker, ask the responsible adviser and provider to establish the appropriate screening scope for the actual location and arrangement. Do not describe an Australian check as a worldwide search. Record any separate overseas process without assuming that a familiar Australian certificate completes it.
Compare purpose, timing and authenticity separately
ACIC's validity guidance says there is no standard validity period: a result reflects records at its release time, and the requesting organisation typically sets an acceptable timeframe. It also says a check is not suitable for reuse across different purposes. The same guidance directs authenticity questions to the submitting accredited body.
Use those distinctions in the following fictional comparison. Assume the brokerage's reviewer has already confirmed that its document-coordination vacancy requires an appropriately scoped check. The examples concern the documents, not the suitability of any real applicant.

| Supplied evidence | What the coordinator notices | Next step |
|---|---|---|
| A recently issued check for a volunteer sports role. | The document addresses a different purpose. | Return to the approved screening route for the vacancy; do not accept it merely because it is recent. |
| A check described as employment screening, with no recorded decision about the vacancy's acceptable timing. | The brokerage has not settled its own acceptance requirement. | Ask the authorised reviewer to resolve the missing condition, rather than inventing a six- or twelve-month rule. |
| A document with apparently relevant details, but whose verification link cannot be confirmed. | Authenticity remains unresolved. | Use a verified contact route for the submitting organisation. Keep the issue pending without accusing the candidate of falsification. |
The resulting status is specific: wrong purpose, acceptance condition unresolved, or verification pending. “Failed background check” would inaccurately combine three different questions. A fourth document may meet the agreed documentary requirements; that still does not demonstrate competence with your lender workflow or settle any other hiring condition.
Keep interpretation with the authorised reviewer
A coordinator can track a request, confirm receipt and identify a documentary mismatch. They should not turn a recorded outcome into an automatic employment decision. The Human Rights Commission's guide recommends case-by-case consideration of criminal records against the inherent requirements of the job. Obtain appropriate advice about applicable laws, the actual role and any proposed decision; this worksheet does not supply an offence-to-job scoring system.
If a candidate disputes a result, ACIC directs them to the accredited body or police agency that submitted the check. Record the disputed status and responsible contact. Do not silently overwrite the result or describe a pending correction as resolved.
Keep detailed screening material in the approved restricted process, rather than attaching it to the general interview scorecard. The existing candidate-information sharing guide covers distribution and corrections. The hiring panel needs the authorised next-step decision and any unresolved condition, not unnecessary copies of identity records.
Complete the hire without collapsing separate checks
Before treating screening as complete, reconcile the request, received evidence, verification and review decision. Name any remaining action and its owner. Confirm what a replacement worker or material role change would require instead of assuming a supplier-level screening promise covers every future appointment.
Keep work references, Australian work-entitlement checks and processing assessment on their own evidence paths. None becomes complete because another check is satisfactory.
When discussing an assistant hire or a loan processor vacancy with Mortgage Talent, bring the duties, location and owner-approved screening brief. Ask which checks the proposed service includes and what your brokerage must arrange separately. Do not send identity documents or police-check results in a general hiring enquiry.
