Coordinate construction progress-payment requests, reconcile stage evidence and prepare drawdown records for assessment and release under assigned authority.
Key responsibilities
- Check drawdown requests against approved project and facility records.
- Coordinate required stage evidence and outstanding inspection information.
- Reconcile requested payments with the supplied progress schedule.
- Record cost, scope or evidence discrepancies for authorised review.
- Prepare readiness notes without releasing funds outside delegation.
- Maintain a dated audit record of request, approval and payment status.
Essential capabilities

- Accurate reconciliation and evidence-checking skills.
- Ability to distinguish coordination from approval and funds-release authority.
- Clear communication about outstanding stage requirements.
Useful experience
Progress payment administration · Construction evidence tracking · Funding coordination. Keep these desirable rather than essential unless the work requires them on day one.

Agree the pace, reviewer and measures with the person you hire.
Learn stage checks, evidence standards and payment authority.
Maintain a reliable drawdown queue and exception register.
Review returned requests and improve one readiness check.
Look for evidence of the work.
Use these prompts to understand the candidate's judgement, accuracy and communication.
- What would you do when a progress-payment request exceeds the amount recorded for that stage?
- Describe a relevant piece of work, the checks you used and what you did when the instructions or evidence were incomplete.
- How would you organise competing deadlines, record your decisions and escalate a risk to the next handoff?
A practical work sample
Reconcile fictional progress-payment requests against a supplied schedule and stage evidence. Identify discrepancies and prepare a referral and readiness record.
Use fictional information and the same instructions for shortlisted applicants. Agree adjustments and timing beforehand. Score accuracy, reasoning, communication and appropriate escalation; this exercise should not produce live client work.
